Description

Assignment Overview:

For this assignment, you will drafting a project scope document and a work breakdown structure and a preliminary estimate report. A scope document template is provided for you, and you will find some examples of work breakdown structures in your reading and in the instructor perspective folder this week.

Learning Connection:

This assignment is directly linked to the following key learning outcomes from the course syllabus:

  • Preparing a scope statement
  • Creating a Work Breakdown Structure (WBS)
  • Using top-down and bottom-up processes to estimate project times, costs, and resources

In addition to these key learning outcomes, you will also have the opportunity to evidence the following skills through completing this assignment:

  • Critical thinking
  • Professional writing
  • Problem solving

Assignment Instructions:

For this assignment, you will be using the attached case study (see attached W3_CaseStudy_A-J or W3_CaseStudy_K-Z) to prepare a project scope document and work breakdown structure and estimate report. Specific templates with instructions have been provided for the scope document (see attached Wk3_ScopeTemplate). Here are a few notes on each element of the assignment:

The case study is a continuation of the case study from the previous week. You will see two options attached. Please note the following carefully:

  • If your last name begins with a letter between A - J, please use the W3_CaseStudy_A-J.
    • In this case study, you will be using internal resources to execute the project
  • If your last name begins with a letter between K - Z, please use the W3_CaseStudy_K-Z.
    • In this case study, you will be using external resources to execute the project.

You are still part of a team who is executing a training project for your organization. As noted above, the key difference between the two case studies is whether or not you are using internal or external resources to execute the training within the project. You will use this case study to finalize and create a Scope Document, Work Breakdown Structure, and provide a report related to your estimates. Please see detailed instructions for each individual component below.

Please note that you will be submitting three separate files for this assignment. The submission links are below this item.

Submission 1: Scope Document

The first submission is the scope document. Please use the attached template for completing the scope document. In the attached Week 3 Case Study, I have provided you with some relevant instructions and information. Also, you template includes specific instructions for each section. Use the Week 2 Case Study and your submission from last week in conjunction with this week's Case Study to complete this document. Also, make sure you take the time to review the attached Week 3 Assignment Rubric for guidance.

Submission 2: Work Breakdown Structure (WBS)

Your second submission is a WBS that captures the full scope contained in the Week 2 - 3 case study and assignment documents, as well as the new material provided in Week 3. Your WBS should be created in Microsoft Excel, and you can submit it as either an Excel file or as a .pdf. Here are a few specifics to be sure to follow when creating it:

  • Captures full scope of project
  • Deliverables oriented -- does not include any activities
  • Uses the adjective / noun format for all deliverables
  • Captures the relevant project management oriented deliverables and management processes
  • Contains 25 - 40 lines of detail
  • Decomposes the project to at least two levels of deliverables, at a minimum
  • Contains a WBS code (1.0, 1.1, 1.1.1, etc.)

Submission 3: Preliminary Estimates Report

Your final component of this week's assignment is a preliminary estimates report. In the attached Wk3 Case Study, I have provided specific details for each of the components you are to cover (cost, time, and resources). Be sure to provide a rational for the estimating methods / techniques used. In order to do well on this section, be sure to format the submission in a professional manner, make good use of title headers, and include tables to convey appropriate information, along with relevant explanatory content. Remember that this is not an academic report, so it should be formated as a business report. Therefore, it should be single-spaced, not double-spaced. However, if you do cite any outside material for any reason, you should provide an appropriate citation.

Below are some key guidelines you will want to ensure you follow in all three elements of this assignment. Think of this short list as a quality control checklist, along with the attached grading rubric.

  • Each section of the scope template is fully completed
  • The scope of the project is accurately carried forward from Week 2
  • Your WBS entries are deliverables that follow the adjective / noun format
  • You have 25 - 40 lines, and you follow the best practices outlined in the instructor perspective materials
  • Your Preliminary Estimates Report is professionally formated
  • All submissions are free of grammatical errors
  • All submissions are submitted by 11:59 pm (Boston time), Sunday, October 9, 2016 using the appropriate Week 3 Assignment links below these instructions.

Please be sure to review the attached rubric that I will be using to grade the assignment. It along with these assignment instructions will ensure you have a solid understanding of the assignment requirements.

Week 3 Case Study (A-J)1 Case Background: Recently, you and your team completed a business case and project charter for a project that will result in the adoption and implementation of a more formal or mature approach to managing projects within the organization. Your team has focused on the implementation of the training portion of the project (see week 2 Case Study). Ms. Jones has decided to proceed with using internal training resources for the project, as outlined in the Week 2 Case Study. This is how your project has been chartered. You will need to carefully review the Week 2 Case Study for relevant details. Please find the details for each in the following sections. Scope Document: A Scope Document Template has been attached to the assignment instructions for your use. Each section of the template has specific instructions about what to include in the respective section. You will see in the template some sections that are familiar from some of the past documents you have created, such as the business case and project charter. Be sure to reference those documents in preparation of this document. Please note, however, that it is not sufficient to simply copy and paste, but you must add additional detail in the scope document to complete the sections. However, you should rely on the previous work you have done in the documents created during Week 2. Please be sure to follow the guidelines provided for naming deliverables in the Instructor Perspective lesson this week (adjective / noun format), and you should use the appropriate deliverables from your Work Breakdown Structure in the relevant section within the Scope Document. Work Breakdown Structure: You are to complete a Work Breakdown Structure (WBS) following the best practices outlined in the Instructor Perspective lessons. Remember that your WBS should capture the full scope of the project. Review the case study from Weeks 2 – 3 to gather the details you need to fully capture the scope. Given consideration to what it will take to implement the training portion of the project. You should likely have 25 – 40 lines of detail in your WBS, and it should be deconstructed to a minimum of two levels. Cost, Time, and Resource Estimate Preliminary Report: For this report, you will need to perform a preliminary estimate of how much this project will cost, how much time it will take, and what resources will be required for it. Below are a few notes of consideration for each of the relevant sections: 1 Please use this case study if your last name begins with a letter between A – J. If your last name does not begin with a letter between A – J, then please use the alternative case study posted to the Week 3 Assignment instructions. Cost: Essentially, you need to provide an estimate of what the cost will be for this project. You should provide a high level breakdown of the costs, and you should provide an explanation of how you arrived at those costs, including which estimating technique you relied upon. Additionally, you should recommend whether or not any aspects of the costs should be subjected to more scrutiny. If so, please provide a reason and a recommended technique. In summary, I should see a breakdown of the estimated cost and an explanation of how you arrived at those. Time: How long do you believe this project will take from beginning to end. This includes not only the training portion but also the prep and any closing processes that are relevant. At this point, it would be helpful to provide a high level of a time estimate to each of the major or high level deliverables within WBS. This could be done with a simple table. These will be refined next week as you develop a project schedule, but you should begin with this in mind, and you need to make sure that it aligns with any estimates or targets given within the Week 2 Case Study. Resources: From the Week 2 Case Study and material contained above, you need to identify the resources you will need to execute your project. This should include your project team, any external resources, support from within the company (procurement, finance, etc.), as well as physical resources. Provide an outline of the resources needed along with relevant details. Please note that this section, as well as the cost section should be aligned. You should not have resources which are not accounted for in the cost section, and you should not have costs that are not associated with a resource. Your team has been asked to focus on the implementation of the training portion of the project (see week 2 Case Study). Ms. Jones has decided to proceed with using external training resources for the project, as outlined in the Week 2 Case Study, specifically Owu Jourdain. This is how your project has been chartered. You will need to carefully review the Week 2 Case Study for relevant details. Project Scope Statement Project Name: _________________________________ 1.0 Project Scope Project Scope Includes: In this section, we are including both the Project objectives and deliverables under the heading of Project Scope. Remember, the Project Objective is a short statement that seeks to answer the three following questions: What, When, and How much. Also, list primary project deliverables in this section. These can include both final product/service outputs, such as tangible items, and also intermediate and project planning outputs, such as reports and documentation, but be sure to identify items in a LIST format. Try to list some major deliverables, but the list doesn’t have to be comprehensive in terms of details, but it should cover the major deliverables included in the scope of the project work 1. [Deliverable 1] 2. [Deliverable 2] 3. Etc. 2.0 Project milestones In this section, list a few key milestones for the project. Sometimes you would include dates, but at this point we are not going to. Simply list a few key points along the project that make sense to you now based on your chosen project. You can modify this later if you need to. Be sure to list milestones in bulleted or numbered format. If you were building a house some key milestones might be as follows: • Contract acceptance • Foundation completed • Roof completed • Drywall completed • Etc. 3.0 User acceptance criteria Here you want to describe what the success criteria for the project is. For instance, is there an applicable standards code or building code or the like? Essentially, you want to briefly describe on what basis you and the client or user will determine whether or not your deliverables are acceptable. If there are technical requirements, you might list them here, as well. You do not need to be overly elaborate here. Simply provide a brief description. For instance, if you are building a house, you might say something as simple as. House will be built according to the attached blueprints and construction specifications and will meet applicable local building code guidelines. 4.0 Project boundaries or exclusions Here you would list what is excluded from the project that a user or client might otherwise assume would be included. For instance, if you are building a house, but not providing the landscaping service, you would want to clarify in this section that the proposed project does not include landscaping or appliances or whatever the case may be. Again, you don’t need to be elaborate. Simply list those items that you think might be reasonable based on the project you are proposing. Page 1 of 2 5.0 Project constraints In this section, you want to list the known constraints that will be placed upon the project team. For instance, is there a pre-determined budget, or is there a definite completion date or a milestone schedule? If there are contractual items that are commonly included in your project type, then you would include those types of items here. Simply list a few to let me know that you understand what type of items would go in this section. Page 2 of 2

Project Name: industry temperature control system
Cost, Time, and Resource Estimate Preliminary Report
This is a report that will show the total cost, time and the requirements in terms of equipment and
tools.
The cost
The cost in a project is divided into different areas such the labor expenses, resources costs,
and the non-labor expenses. This aims in the generation of the revenue at the end of this project.
The project is also maintained within the designed budget. The industry temperature control
system is estimated to cost as a range of half a million shillings in total cost. The cost is calculated
using the bottom up and top down estimation methods. This is where fixed and variables costs of
the project are determined and recorded as the project progresses to grow. The fixed costs include
purchasing the amplifiers, AC controllers, drives, the LCD displays unit, transducers and the power
supply unit, and other components in the system. The amount of cost in each unit such as the
control unit, power supply unit and displays units amongst others is calculated each at a time and
total combined for the total costs. All the cost of labor in each unit is recorded and multiplied with
the tasks. Standardized work packages and structure are used to make the cost estimation
accurately known.
Time:
Time estimation in a project will help in the project management. This project will take a
minimum of three months and a maximum of six months for completion. Various steps have been
used to estimate time in industry temperature control system which include
