Formula auditing tools in excel
Formula auditing tools are tools that are used to display the relationship between
formulas and cells. Before using the formula auditing tools, there are three important steps to
follow. The first step is to fix the obvious errors which include the following six common errors;
the #### error which means lack of enough space to display the value and corrected by
increasing the cell. The #NAME? error that is due to the use of non-existing function and can be
corrected by using the correct spelling. The #DIV/0! Error is caused by the division of a number
by zero which is impossible and the #NULL! Error is due to syntax error of the formula. The
#REF! error is caused by the use of an invalid reference cell and the #VALUE! error is due to the
use of cells with different data types. The second step is the use of the error alert button which
will display the error message when the user enters the data against the validation. Error alert
button is created by use of the data validation in the data menu so that it informs the user there is
an error by displaying the button and peeping sound. The last step is to examine the formula to
ensure all the necessary parts are available. These parts include functions which are predefined
formulas, correct references that point to the intended individual cell or range of cells, constants
numbers or text values entered and correct operators used.
The available formula auditing tools include: Trace Precedents which are used to display
arrows that indicate which cells are used to calculate the values; Trace Dependents which are
used to display arrows that indicate which cells are dependent on the selected cells; Trace Error
which is used to check the common errors that occur in the formulas; and Evaluate Formula
which is used to debug the formula by individually evaluating each part of the formula.
