The main questions anticipated from the stakeholders include:
1. What is our approach to implementing the project?
2. What is our organization doing to comply?
3. How does the project impact each role?
4. How are we minimizing the impact on our customers?
5. Why is it essential to comply with the project?
There are five steps to creating and approving the message process. In every stage, it is necessary to know
that the right message is given to the right audience. The first step is defining the audience. The audience incorporates
the people who will be impacted by the project implementation of the new systems. To know if the message is
delivered to the right audience meeting with groups that understand and communicate with the audience internally is
essential. The second step is understanding the target audience. This helps in developing impactful communications.
During this stage, individuals need to understand the degree at which the project impacts the audience. This will help
in understanding where and how much communication is needed. The third step is prioritizing the target audience.
Individuals need to consider every impacted person and rank their importance to help in allocating resources
effectively. The fourth step is determining the key messages. In this stage, individuals need to consider what messages
need to be created. The last stage is determining the channels of transmitting the messages then make an informed
decision on what needs to be used.

Within the project control process, there are three tools, each with different functions. These tools include
Workplan and issues log, budget and financial measures and scope and quality, also known as the six sigmas. Workplan
and log issues are used for structuring the project completion date, which is determined in terms of change priorities.
For higher priorities, applications need to be changed to be useful or operable, and legal requirements need to be met.
For medium priorities, changes are required for the environment significant performance, and cost postponement is
high. For lower expectations, there is a need for corrections and enhancements to automate new functions.
The budget and financial measure help in project cost and adding value to the organization. This is
determined through a cost-benefit analysis that has several cost considerations, including opportunity cost, hidden
cost, marginal cost, time value of money, discounted cash flow, cost of capital, economic life, and terminal value.
Scope and quality are essential for customer expectations and performance. An example of these tools is six
sigma. Every sigma that an individual departs from the average becomes more improvable. Many six sigmas define
failures by measuring deviations that lead to the quality of the product. Six Sigma represents the final goal to higher
heights of client satisfaction.
