Importance of maintaining accurate and objective employee records
Keeping accurate employee information is a critical responsibility of human resources
management (HRM). Accurate employee record keeping is one of HRM's best practices and its
significance for helping an organization avoid legal ramifications for outdated records. Current
records help HRM in recruitment, identify skill gaps, and increase efficiency when performing
administrative roles (Brewster, 2017). Accurate record-keeping is also essential in improving HR
services and easing problems during inspections. It is a requirement by the federal law for HR
departments to keep certain employee information for a specific period of time. For instance,
Equal Employment Opportunity ACT requires all HRM to maintain essential employee
documents such as Curriculum Vitae, academic certificates, performance reviews and appraisals,
letters of promotions, and demotions for a minimum of one year (Michael, 2019). It also ensures
organizations meet legal and regulatory requirements. Firms have a legal obligation to maintain
accurate employee tax information, demographics, salary, compensation information, and other
relevant information. It ensures this information is readily available when government regulators
require it. Failure to maintain accurate information can lead an organization to trouble with labor
relations regulators, fines, and legal suits.
Maintaining accurate records prevent litigation due to employee termination and other
disciplinary actions. Having all employee records is essential as it gives all documentation and
justifiable course of an action to terminate a contract. Up-to-date employee records are key to
preventing numerous lawsuits by former employees. It provides all employee information and
actions that led to his or her dismissal or reprimand. Failure to keep these records can lead to a
frivolous lawsuit that can be damaging to an organization. It can also be costly for an

Accurate record-keeping in HR guarantee competency in an organization. HR is required
to ensure all employees are well trained to perform their jobs to minimize mistakes and injuries.
