Definition of formal report
A formal report is a composition comprising of five sections. It is suitable for carrying
out investigations, experiments, case studies and any other information delivery reports that get
reported to the seniors in a department or the top management of an organization. The examples
of such organizations where these formal reports are needed include schools, colleges companies
and universities. Formal reports comprise of information that is laid down and structured in a
predestined, set and prescribed way.
Features of formal report
A formal report comprises of the several characteristic features. The report starts with an
indication of the person writing it in a caption “From:” The next thing after the author of the
report is the receiver of the report captioned “To:” The date of the report then follows these two
initialization features to indicate when the person who wrote the report did the write up. The next
feature is the topic or title of the report which clarifies what the entire report talks about. The
following item of discussion is the introduction which mentions what the author got
commissioned to execute. The part of introduction also gives the name of the person who gave
the requisition for the report document submission and the deadline by which the document has
to get delivered to the final user or commissioner.
The second section after the introduction is the outline of the steps taken by the author of
the report which could include, but not limited to, interviews, survey and visits to various
locations in the process of information collection. The findings, which is the third section of a
report, forms the major composition of the write-up. In long reports this section is divided into
sub-headings to distribute the content proportionately and make it logical.
