PATTERNS OF ORGANIZATION
The mode of any business writing depends solely on the intent. To create any professional forms
of communication, there are three main intents to be employed:
1. To inform;

2. To persuade;

3. To promote goodwill.

Creating a write-up without clear intent or purpose leaves the readers confused and lost. This is
why good business writing must follow some standardized styles, which bring about wellstructured writing that appeals to a reader’s interests.
Every business writing uses the basic 3-part structure that presents the write-up to the reader in a
more explicit form. The 3-part structure includes:
1. Attention-catching opener
This is the opening message that catches the attention of the reader. In an extensive writeup, there is an introduction that explains the intent of the write-up and what the reader should
expect to read about.
2. Well-detailed body
This is where more explanations are presented to buttress the introduction. More
details, examples, and several more convictions are stated here based on the type of organizational
structure used.

3. Conclusive closing
Here is where the summary of everything discussed will be given. In good business writing,
the writer tends to load this part with more points and explanations. This is because of some readers
who decide to jump to the end to wrap up quickly. It is believed that most readers remember and
attach a lot of importance to both the opening and the closing parts of a write-up.
In the light of the 3-part structure, business communication adopts any of the two main
strategies:
1. Direct (Deductive): This is when the main point or idea of a message being passed at the
beginning, mostly in the first sentence or paragraph. In the direct pattern, the main intent appears
first, then the details, explanation, or evidence. It prevents the reader from getting bored and
frustrated quickly while trying to get to the message's main point. The direct pattern is used when
passing a piece of good news, routine requests, instructions, informal reports, insensitive memos,
etc.
2. Indirect (Inductive): This involves presenting the main intent of the message either in the
