Technology and Business Communication
Introduction
Communication refers to the exchange of information between the sender and the
recipient. Communication can be either verbal or non-verbal. Regardless of the form of
communication, what is critical is to ensure that the recipient gets the information and interprets
it in the manner in which the sender intended to mean. In any form of business or organization,
communication is very important and frequently used.
Body
In the context of an organization, communication can be referred to as the personal
process that involves exchanging behaviors as well as information (Luthans, 2011). Through the
advancement of technology, communication has been taken to a different level although
electronic communication but can still be broadly categorized as either interpersonal or nonverbal form. Use of technology to communicate within businesses and organizations has been
widely accepted and acknowledged. The electronic form of communication can be quite
sensitive as opposed to the traditional forms of communication and there is, therefore, a need for
employers and employees to take more caution when using it. Additionally, feedback when using
an electronic form of communication is useful in assessing whether the recipient received the
information as intended. On the other hand, the recipient of information in an organization is
expected to give adequate feedback, especially when communicating electronically.
Effective feedback is timely, clear, precise and valid (Luthans, 2011). In an organization,
the recipient of the electronic form of communication is expected to be clear and accurate to
assure the sender that they have interpreted the information as they had intended. Unclear
feedback can easily lead to the breakdown of communication as well as misunderstandings.
Timely feedback is also another aspect that every recipient of information should regard
important. Responding in time is a sign of respect and helps the sender to know that the
information has been delivered.
Interpersonal communication as a category of electronic communication involves the
exchange of information between an individual and the other or between groups. Interpersonal
communication is the most common type for businesses and organizations. There are several
variables in interpersonal communication that should be considered when using electronic
communication. Aspects of interpersonal communication that ought to be considered include
feedback, compatibility, expectations as well as trust (Luthans, 2011). Compatibility can be
approached from many ways depending on the context. However, there is need to ensure the
mode of interpersonal communication used in business is compatible with software being
employed by the recipient. Some of the company information requiring to be communicated can
be very confidential and therefore trust should also be considered to avoid the information from
illegally getting into the wrong hands.
Various forms of electronic media are used in communication in a business set-up
depending on the security, convenience, speed and cost. Forms of electronic communication
include emails, Video conferencing, text messages and Skype (Luthans, 2011). These forms of
communication, though popular, have their pros and cons that can make communication either
effective or entirely ineffective depending on how they are used. One of the advantages of these

electronic forms of interpersonal communication is speed, especially when using email and
phone texting. The information is delivered within the click of the button provided that there is
proper internet connectivity or network coverage. Speed ensures timely delivery of information
and therefore efficiency especially when it is a matter of urgency that a manager requires to
