Introduction
The inventory information system will help in the management of the flow of inventory
within the organization by managing the ordering process, the procurement process, the receipt
process and the ownership of inventory within the organization. The system will allow users to
request for inventory, mid-level, and senior management to approve the requests and then the
ordering process which will include suppliers management and ordering and delivery of
inventory. When the inventory is received by the organization, the system will also manage the
process of issuance of inventory to various users within the organization and justification of how
they are used.
The first part of the system will involve registration of users and suppliers so that the
flow of the system can be finalized. Given the various challenges that the organization has in the
management of suppliers and determination of what each supplier is supposed to supply, the
proposed system will allow each supplier to be registered and the materials they supply to be
matched to their profiles. This will mean that whenever a specific item is being ordered from the
suppliers, they will be filtered off based on the ordered items and then a Request for Quotation is
sent to these specific suppliers. The filled Request for Quotation will then be received via email
into the system and this will be used to make the decision of which supplier to use.
The supplier will then be expected to make full delivery of the materials ordered within
the set timelines. The system will allow for partial deliveries and deliveries to be canceled in
case they do not meet the requirements of the organization. During delivery, the materials will be
recorded into the system based on their form of measurement and then from here, they can be

issued to specific users who requested for them. The users can then go ahead and use the
inventory as they wish.
The proposed system will then allow users to generate reports based on the
specific requirements of users from different functions. These reports will either be
