The Problem-Solving and Delegation Process
Delegation
Process
identify each
step
Define the Steps explain each step
in your own words
Scenario Choose one of the three
scenarios above
Example:
“Define the task”
(do not label this
as “Step 1”).
Define the step in your own words
(what is involved in “defining the task”?)
Apply each step to your chosen scenario
Assigning a medical assistant with the
task of organizing medical supply
Sort the task
that can be
delegated
The person in charge will analyze and
classify what should continue to done
and what can be delegated. The most
important tasks will remain in full control
of the person in charge (Diener,
Luettgens & Piller, 2020). Only
delegated tasks are that are not
important to the attention of the person
in charge.
The medical assistant will be tasked with
labeling and separating and putting down
the orders of the day made.
Determining
who will be in
charge
This step involves identifying people
who can work on delegated job and can
be responsible for the task delegated.
Here the assistant is responsible for all
the assigned task of differentiating and
packing of medical supplies and any mix
while writing and recording the total
medical supply made will lead him her to
be held responsible.
Defining the
task that will be
delegated
Before someone assigns a job to a
person, he or she should define that
task, because delegated clients do not
want to work on poorly define tasks
since they can mess the process.
The assistant medical officer here will be
required to make clear instructions by
reading and checking on areas he or she
does not find it clear by referring to the
manager in charge.
Delegate the
task
This is process of transferring the
responsibility for the task from the
leader to another person through
notification to that person. It also
involves what is needed to be done and
the expectation.
The medical assistant is needed to take
full responsibility of the job and act like the
person in charge by following the due
processes as per the instructions from the
leader. Moreover, since it deals with
keeping the inventory of the medical
supply, the medical assistant is required
to make follow ups of the supplies made

until it reaches the owner and record
every supply made that day for reference.
Monitor and
encourage
Here the delegation process does not
just end when someone transfers the
responsibility (Maggetti & Trein, 2019).
The leader carries follow-ups in the
implementation process. He or she also
offers the responsibility of encouraging
the person in charge with adequate
help.
The medical assistance here as taken the
full responsibility and he or she is acting in
full capacity as the person in charge of the
task. The delegated medical assistant
maintains close contact with the leader of
the task and receives instructions and
directions on areas where he or she feels
not able to execute clearly the orders
made by different groups of hospitals.
Evaluation
This is the last step in delegation
process; it is the responsibility of the
leader to check how the delegated task
was performed.
Here the medical assistant makes
necessary arrangements of all the
supplies made in the duration, by putting
all the records in computer and written
records for easier prove checking as well
as checking all the invoices of the
supplies made in that short stint period.
Moreover, the medical assistant consults
with his boos over the written invoices and
if its correctly recorded according to the
companies demands and requirement.
Costs of the products and if the hospitals
have responded to the related invoices
and if not the medical assistant should
make follow-ups by writing mails or
making calls to show that they received
the order correctly and will respond to the
invoices (Maggetti & Trein, 2019)
