The increase in the social networking environment requires proper and coordinated
implementation of the social media policy such as employee acknowledgement form in an
organization. The function of the company depends on the social media usage especially among
the employees of the organization who post in the social media platforms. Social media such as
Facebook serves as the common marketing and advertisement media for the consumers of the
business products. Back and forth communication with the consumers via the social media
platforms such as Twitter, Facebook and Instagram have become very popular method of
widening the market share of the organization (Greenwood et al. 2016). Moreover, in instances
where the consumers are not satisfied with the company product, the website and social media
page of the organization provides avenues for them to reviews the products negatively to enable
other consumers have indirect product experience from the consumer. Such negative feedback
enables the organization to mitigate errors that leads to unsatisfaction among the consumers
(Fuchs, 2017). The worst-case scenario in social media usage is breach of date regarding the
company. Red Clay Renovations has provided the employees with open and free usage of social
media without any limitations. However, the company has instituted a plan to restrict some of the
freedoms enjoyed by the employees regarding data control to curb data breach and secure the
field office networks, maintain the organization reputation and provide enough security to the
sensitive data of the organization from the potential threats of cyber-attacks on the social media.
The organization has set up plans to promulgate the social media usage policy in many
ways. The company has mandated CISO to be the sole accountable official for responding to all
data breaches. The organization should email all the employees regarding the implementation of
the policy to enable them read and understand the changes required. Customer support center
should be established to attend to complaints that the employees will raise regarding the changes

(Greenwood et al. 2016). Secondly, a face to face follow up among the field office is scheduled
with interview schedule or question and answer sessions to enable the organization to register the
concerns of the employees. The ground is set up to enable the employees to voice their concerns
and opinions regarding the policy changes before the buy in of the proposals occurs (Tuten &
Solomon, 2017). Again, the newsletter and organization journals should be made available to
the employees to remind them on the mishaps of the social media and emphasize on the new
policy to keep them abreast on the notes of the social media usage (Fuchs, 2017). Cases where
the Domino’s pizza employee with a stuck cheese in the nose is posted online, or tweets by
employees such as “I don’t like this place” while tagging the real place should be included in the
journals to show the improper use of the social media and how negative influence it can have on
the company’s reputation.
Communicating the policy and the scheduled meeting should come from top management
to the low-level subordinate staffs. And not merely from the IT or human resource office.
Different approach should be used in communicating the policy changes to the employees
(Greenwood et al. 2016). One effective method is the direct approach through face to face follow
up and organizing meeting with employees to discuss the concerns of the policy. The GAP
fashion brand states “Your job comes first” in the social media make the employees respect the
necessary changes that an organization opts to make. The employer has the obligation to
communicate and engage the workers in policy changes to effectively implement the new
changes required in the organization (Fuchs, 2017). On the other hand, the employees are tasked
with responsibilities of following the rules set in the company and doing their job they are paid
for by the employers. Therefore, non-compliance with the policies set should be communicated
