This paper identifies and discusses aspects that play a pivotal role when communicating in an
information technology project environment. Key aspects discussed include the implications for
team dynamics, management of conflict and dissemination of project briefs. The management of
meeting and how this can promote team dynamics in a project team.
Introduction
From the beginning of an information technology project, up to the completion thereof, various
important roles are being played be skilled departments, the managers and their team members.
Communication however commonly forms the most critical aspect of all these inter-linked
departments human resources and equipment. The project therefore puts most of responsibility
for success on communication.
Not only does a project require its communication plans, methodologies and channels to operate
smoothly, it requires the effective thereof.
This article focuses on the role of effective communication in the managing of information
technology projects. It discusses how the inevitable workplace conflict can be managed
effectively by applying effective communication guidelines. It also looks at why meetings are
sometimes regarded as an ineffective waste-of-time and how communication rules can help to
turn this around.
Dissemination of project information is also sometimes a key factor to the success of a project.
In large projects or organizations, distributing project information can become a complex task
even with the assistance of modern technology like e-mail, video conferencing and instant
messaging. This paper will therefore discuss how communication principles can help with this
complex task.
Since it is vital for a team and its members to remain motivated and optimistic about project
success, team dynamics plays a significant role to achieve project goals. This paper will therefore
discuss the issues around team dynamics and how a team can apply effective communication
skills to accomplish their goals.
Management of conflict
Up to 30% of a typical manager’s time is spent on dealing with conflict (Schmidt: 1976). 42% of
managers’ time is spent on reaching agreement when conflicts occur (Hoffman, Managers:1996).
Project team members’ attitude and commitment to a project decreases when conflict occurs
which is not manage adequately. So much as 62% indicated in a survey, that they are willing to
take legal action when ineffective management of conflict is the source of employment
discrimination (Ford:2000). This affected the outcome of the project financially, deadlines
weren’t met and staff morale dropped. Conversely, in another study, “Interpersonal conflict and
its management in information systems development, by Henry Barki and John Hartwich (2001),
