The role that business communication plays in my day-to-day activities at work is
important that all line of communication stays open. It is important that all working departments
remain flexible and adapt to the “rapid rate of change” (Locker, K., & Kienzler, D. 2008, pg.17).
Communication is one of the most basic functions of management. The manager can
make a good decision, think out well-conceived plans, establish a sound organizational structure
and even be well linked by his associates (Gulati, 1967). Communication is the sum of all things
that one person does when he wants to create an understanding in the mind of another. It is a
bridge of meaning. It involves a systematic and continuous process of telling, listening and
understanding (Kleinrock, 1994).
We can define communication as a process by which information is transmitted between
individuals and or organization so that an understanding response results. Communication is the
exchange of facts, ideas, opinions or emotions by two or more persons (Kotler, 2002).
Business communications could be defined as the transformation of business information.
It is the most essential and integral function of the management (Taylor, 2005). Communication
transmits information not only about tangible facts & determinable ideas and opinions but also
about emotions (Kotler, 2002). When a communicator passes or transmits some information, he
may either intentionally or unconsciously communicates his attitude or frame of his mind to the
receiver (Kleinrock, 1994). Business communication helps an individual to transmit his views
and beliefs in a formal manner so that the receiver can understand this without having any
problem (Taylor, 2005).
In order to manage daily activities and work procedure communication plays an essential
role. It helps us to explain the activities and delegate responsibilities to others. We can transmit
information at the time of buying, selling, purchasing, social meetings, etc. in our daily life

(Taylor, 2005). Business communication guides an individual to cope up with various segments
and different cultural environment at the international level (Kleinrock, 1994).
In a business, the communication should be proper, effective, ethical, clear and fair. The
communication cycle begins with the generation of an idea in the mind of the transmitter. A great
deal of clarity is needed at this stage, for if the beginning is fuddled, it is likely to mar the entire
communication process (Kotler, 2002). The communicator must be clear about the objectives,
situation, benefits, problems and disadvantages of the objectives.
Presently, the working environment has changed and the organizations are using latest
and technology based communication methods to utilize the information as fast as possible such
as internet, face to face communication, video conferencing, etc. (Taylor, 2005). The companies
are trying to minimize the time in the communication period to take the advantages of the market
opportunities. In this period of globalization, by using communication channel such as internet,
e-technologies, etc. the business organizations make a touch with the customers at the
international level (Penner, 2002).
Business communication process has also become an integral tool to be successful in the
organization. The organization and managers use communication to convince the customer and
to increase the profitability if the organization (Kotler, 2002). Companies also provide customer
services to using these trends and technique. Presently, it has become a trend to convince
customer by using effective communication skills.
For example: in an organization where a customer suggests a proposal for providing some
new and different kinds of services. It is the job of the supervisor to satisfy to the customer by
using effective communication process and by providing various services. If the supervisor
convinces him by presenting some argument and factors then it is ethical for the company but it
