The goals of effective business messages and the process for creating them
Business messages usually contain content related to the organisation. These messages could
be for either internal purposes or external purposes. Messages for internal purposes may be
between employees and the management whereas messages for external purposes may be for
clients, service providers, or creditors.
There are several goals of effective business messages and one of the goals is that they ensure
organisation’s objectives are achieved by playing a vital role in the daily operations of the
business thus enabling all stakeholders within the organisation to function properly.
Another goal of effective business messages is creating dialogue by ensuring communication
between the communicator and the receiver is clear thus minimizing guesswork and the need
for interpretation. Effective business messages reduce confusion in the organisation,
decreased productivity, and loss in sales, which is caused by a lack of communication or a
miscommunication between the management and employees.
Another goal of effective business messages is that they enhance streamlined communication
and teamwork. Organisations do rely on teamwork for increased productivity and therefore
effective communication is required for this to be achieved. Effective business messages also
ensure that grievances and disagreements are solved amicably as well as making the decision
making process easy. Contracts entered into by the business are adhered to by both parties
through effective communication.
Effective business messages bring about credibility by cultivating trust between the business
and the audience. These messages when serving an external purpose create a healthy and
positive relationship between the business and its customers. When these messages serve an
internal purpose, they inform, reassure, and guide members of the organization.
The process of preparing effective business messages includes the planning steps, which
involves identifying the purpose or the main reason of the message. After one is done with
identifying the reason for the message, the next step is analyzing the audience of the message
