The rise of knowledge-based economies in recent years has made the use of effective
management of knowledge very important in businesses (Drucker, 2018). Knowledge
management has been described as a salient ingredient for any business that aspires to have a
sustainable strategic competitive advantage in its sector. This paper presents the process by which
an organization can effectively retain the knowledge of the Information and Technology
department in such a manner that is well organized so that is can be easily accessed in the future.
The process of knowledge retention in an organization IT department is facilitated initially
by the organization's ability to acquire or build the ‘know-how’. This highly depends on the
creation of a culture within the department with aspects such as openness, collaborative working,
and partnership, tolerance of failure, respect on a staff contribution, trust and integrity(Papa, et al
2018; Drucker,2018; & Ahammad et al.,2016). The next stage should include the documentation
of the job descriptions and corporate procedures of the IT personnel’s. These should be understood
by all the parties in the organization. The documentation of the specific duties of the staff should
then be recorded on training documents which will not only help future successors as well as the
other workmates in understanding the overall duties and roles.
Daily job requirements of the job roles or services should then be put down on a bidder
accompanied with a video. This should be done soon after the IT personnel has been in the business
long enough to have all the needed knowledge on the job. A mentorship program should then be
included in the business as a way of enabling the organization, capturing and transfer of knowledge
(Kianto et al., 2016). A mentorship program creates a relationship that is mutually beneficial to
the employees and the company because it forms a baseline of knowledge to the business or mentor
while at the time igniting succession preparation for the mentee.
