Introduction
I am pleased with your decision and understanding of the need for organizational change,
particularly in the information technology section. TPAC must implement the proposed
information system to improve the responsiveness to competition and the provision of improved
customer experience. The transformation process will require the integration of various
equipment and resources in addition to specific change frameworks to ensure the implementation
process is successful. The effective change process focuses on minimizing the likelihood of
resistance by harmonizing the needs of employees and the goals of the organization concerning
the transformation in the information system of the company. Although change management is
constant, leading change has proven to be among the most challenging burdens of a leader’s
command. The execution of the new information system does not only focus on lowering costs
but also in minimizing errors in the claims administration process and provision of improved
customer experience.
Implementation of Proposed Information System.
My role as a leader and project change agent will primarily focus on the provision of consistency
and vision during the transition process. In particular, while the management team emphasizes
addressing processes and systems, my leadership responsibility will premise on working with
employees through challenges and reinforcing their strengths to enhance the successful
implementation. Moreover, I will facilitate clarity, accountability, and connection, especially
amid change. Effective leaders ensure clarification and active communication of the vision and
thus the need for transforming the organization. I will enhance communication and interaction
between the employees and the management to enable them to accept and see the relevance of
the required change. It is also critical to demonstrate sponsorship and role modeling as leaders
need to act as change advocates by using leadership capital to initiate change. Furthermore, I will
illustrate the attitude and behavior for change, which will translate into an example that will be
followed by the employees.
A wide range of resources will be required to implement the information system change needed
to minimize errors in processes and lower costs. Specific ones comprise a group of staff
members that will work on the implementation procedure, about seven dedicated systems, 600
MB of memory and 700 MB of disk space on every order, an integrated system with windows
2010 server and change management as well as risk analysis team to work comprehensively on
the execution process. Also, it’s critical to have comprehensive knowledge in the current
Information Technology infrastructure of the organization to understand the claims processing
application. It is evident in the case study that a particular claim was manually processed by a
Benefits Administrator and thus the previous system allowed for errors and inconsistency as
there was no auto processing of claims. Additionally, the project will require sufficient funds to
purchase a new information system applications needed to upgrade and transform the current
system of the organization. Training room and materials will also be necessary to facilitate the
change process as the staff members participating in the transformation process will be trained
and educated on how the procedure will be conducted.

Project Risks and Project Scope
Project uncertainties and risks are expected as it is normal for any project implementation.
However, it is crucial for the management to partner with the project leaders and experts in
forecasting and managing these creeps and risks. Increased functionalities, lack of minimal
executive sponsorship in addition to the inability to follow the formal channel of the change
management process, increases project failures, and thus scope creeps. Therefore, organizational
leaders should collaborate with the management and the executives to facilitate a smooth process
during transition. In particular, the project participant should be well trained to increase
efficiency and effectiveness.

The project should demonstrate depth and clarity to the original specification documents and
reduce direct interaction between clients and team participants. Reduced defined initial
requirements, and lack of planning and foresight is a significant contributor to increased risks
and scope creeps. It is essential to address the challenges by developing a practical plan and
strategies to deal with the threats if they occur (Basu 2015)..
Change Management Strategy
We are proposing to utilize new hardware for the systems reserved for claims processing
software applications to reduce costs and thus allow TPAC to compete with the current
competitors in the market and attain new clients. In particular, it is essential to set aside a
dedicated day for the complete role out of the new system after a successful pilot
implementation. The system will be under constant monitoring under ten consecutive days to
ascertain any errors and issues demonstrated in the original order. Furthermore, full support and
