This is driven by the fact that a business entity is surrounded by various environmental conditions that cannot be avoided (J.S. Toms 2002). These channels are both social and mainstream platforms, which include: the internet, radio and television, print media and word of mouth among other key organization’s communication channels (J.S. Toms 2002). Because of the nature of communication process, various challenges occur from any field hence communication process should be accorded the necessary attention. For effective communication process to be enhanced within the organization, the following are key aspects that should be addressed: issues of culture, conflict management, well established communication ranks and well written communication policy within the organization. The following problems may arise within the stipulated channels of communication of the organization: listening abilities from the managers, the current level of technology and problems to do with meetings (J.S. Toms 2002). Manifestations of hampered communication process include the following: customers that are not satisfied, impaired productivity, unattainable goals, many mistakes within the organization, poor cooperation among the internal and external stakeholders of the organization and all sorts of blame games within the organization. Below are descriptions of problems that determine the process of communication within the organization. Level of technology It is factual that improved technological forms of communication determine the manner in which the communication process is maintained and streamlined within the organization. For example, use of emails, fax and internet services saves times and it’s more convenient and economical in terms of finance (Heinz Hollenstein 2004). However, this form of technology fails to address some of the verbal communication features. For example, it becomes hard within the organization to fully express the following features of verbal communication; in the event that technology is used: tone, the eye contact, facial expressions and body posture among other key features. Therefore, the available technology affects the manner in the effectiveness of the process of communication (Heinz Hollenstein 2004). Listening abilities You may concur with me that the most important aspect of communication is being able to listen to another person. Sometimes, managers within organizations fail to develop this skill fully; caused by the fact that they are ever busy focused with more important issues of the organization (Heinz Hollenstein 2004). Failure to take time and listen to personal needs of the concerned people is what perpetuates negative manifestations of impaired communication process. A neglected employee fails to perform to the best of his/her level of specialization while at work. Organization’s meetings It is a substantiated fact the meetings consume a lot time and are expensive in nature. Nowadays, most organizations have sidelined the process of organizing and contacting oral meetings; due to changes in technology as caused by globalization effects (Raymond et al 1998). However, oral meetings are very essential within the organization. Organizing for meetings make the employees to develop a sense belonging and greatly develop a sense of being valued. Meetings provide avenues for workers of the organization to make their own inputs on cardinal issues of concern and also share their own personal opinions pertaining to what is considered to be of importance within their area of specialization. Being a key determinant of the effectiveness of communication process within the organization; there are many challenges that affect the process of organizing for meetings that are concise and fruitful in nature (Raymond et al 1998). Common meetings problems include the financial aspect of budgeting to ensure that all requirements are met within the stipulated time. This poses a huge economic effect to the organization thus creating eddies in the normal way of transacting normal communication process. Also, some of the employees may be reluctant to turn up during the process of oral meetings. This might be caused by some of the personal differences they have developed with other members of the organization. They end failing to turn up so that they don’t meet with the enemies (Raymond et al 1998). Conclusion As opined above, the effectiveness of communication process within the organization is determined by a number of factors of social, political, economic or ethical issues. Because of the nature of a business environment; issues to do with meetings, listening abilities and technological hiccups cannot be avoided. There is need for looking for solutions to these problems so as to enhance the effectiveness of communication process within the organization.
