See assignment instructions for the Unit VII Final Project for more information. Remove these instructions, and place your information here.) 2 URBAN KIDS FITNESS FUNDRAISING EVENT Urban Kids Fitness Fundraising Event Section 1: Introduction and Background Smart Body Youths Sports Club has 20,000 members of the age between 5 to 15 years. The club has had a chance to participate in various organized sports. However, in the previous year, only 20% of the members participated. This shows that it has been experiencing some financial strains when compared to their opponents who are in the suburbs and yet they have a strong financial support. This has enabled them to acquire the required dress code and equipment for their youths. This has caused demotivation on the Smart Body Youth members. Physical fitness, especially in the young people, is essential because it helps in maintaining a healthy weight, which reduces chances of heart diseases and obesity. It is also a way of relieving stress thus prevents mental conditions that are caused by depression (Warburton, et al., 2006). Kids get to strengthen their body muscles and enhance their flexibility that is essential in physical development. The club, therefore, due to considering these factors, the members have emphasized the need for coming up with an initiative that would pull the urban kids to the club, specifically the city girls. This initiative would seek for funds which would be used to buy port robs that would be used by the city girls in the physical activities. These funds would also make it possible to acquire structured facilities that would benefit the Richmond kids. They would acquire physical development activities and fitness health. Also, other people interested to use the facility would get the chance in participating in the sports programs. The event would be held in the Richmond Metro area since this is where the youths' sports programs will be taking place. The parents would also get the chance of participating in the sports programs. This would help them learn how to relate well with their children through teamwork. They would also improve their communication skills. The kids also learn how to 3 URBAN KIDS FITNESS FUNDRAISING EVENT handle success and failure in a reasonable manner. Section 2: Vision and Mission Statement The fundraising would be necessary for the clubs event because it would be one step of helping the club meet its vision and mission. The vision of Smart Body Youth Sports Club is to ascertain that the youths gain access to health care and healthy body development. It also looks up to gaining more support from the local authorities and parents for the purpose of coming up with more recreation and sports programs for everyone. In addition, the mission for Smart Body Youth Sports Club is to offer health fitness and physical development for the youths and their families in the Richmond area. Among the club’s objectives, it would manage to use the funds to support a needy child interested in sports through scholarship. The fundraising would also bring in partners who would support the club’s initiative (Klein, 2011). Potential partners are driven to be part of such initiatives because the objectives set are usually clear and they aim at helping people in the society. They also assist in brainstorming in some of the ideas and how to implement them appropriately. Fundraisings have become part of the society’s welfare development. Statistics show that about 83% of the household donors and private individuals are the highest contributors to such events. Most even offer their partnerships not because of the benefits that may come with it but to improve the lives of others. Corporation grants give 17% of donations and other participants such as art donors contribute 2.1% of their income. Such people are also motivated to participate in more fundraisings when they see that the money is well managed and the outcome is evident. Smart Body Youth Sports Club would ensure that it comes up with a fundraising strategy so as to reach many people who may be willing to participate. 4 URBAN KIDS FITNESS FUNDRAISING EVENT Section 3: SWOT Analysis The Urban Kids Fitness Fundraising Event has a high potential of helping the Smart body Youth Sports Club meet its vision and mission. The major strengths of the fundraising event include strong attendance numbers because the club has 20,000 members and thus the presence of their parents and members of the community guarantees a strong attendance to the event. Another major strength of the event is the location (Sargeant and Jay, 2014). The event being held in the Richmond Metro is a major strength because the local authorities and parents would provide the event with strong support so that the club can come up with more recreation and sports programs not only for the kids but also for everyone. Another major strength is the strong aim of the event. Considering that the event aims at raising funds pulling the urban kids to the club and specifically the city girls and also acquire facilities that would help the Richmond kids, many donors and organizations can support this vision resulting into high donations and sponsorships. The Urban Kids Fitness Fundraising Event also has some weaknesses, which should be improved to make the event a success. Among the weaknesses is the limited media coverage and advertisement whereby the club might not be able to provide media coverage for the event due to financial challenges facing the club. Advertising the event in major Richmond media platforms might also be a challenge due to the weak financial strength of the club. Furthermore, the event also has a weakness due to the unavailability of food and beverages as well as the entertainers (Sargeant and Jay, 2014). The financial condition of the club is weak and thus affording these services is a challenge whereby this is a weakness because the presence of food and beverages and also the entertainers would attract more attendance. Furthermore, considering that its only 20% of the club members who participated in organized sports due to lack of finances, relying on 5 URBAN KIDS FITNESS FUNDRAISING EVENT the support from parents add the weaknesses of the event. The Urban Kids Fitness Fundraising Event also has various opportunities, which include having a good number of volunteers to facilitate the event (Worth, 2015). Since the fundraising event will be held in Richmond Metro where the youths’ sports programs will be taking place and that the parent will have the opportunity to participate in the sports programs, this creates a major opportunity for the event to have more than enough volunteers. Recruiting more members into the club is also a major opportunity of the fundraising event whereby the presence children and parents from the Richmond Metro community would create the opportunity of attracting more members to the club. The fundraising event also a significant opportunity to attract more donors and partners because the objective of using the funds to support the needy children interested in sports has a high potential of being supported by various organizations and donors including the local authorities (Worth, 2015). The fundraising event also has the opportunity of continuing up the evening considering that the kids would be accompanied by their parents whereby the time extension would create the opportunity of attracting a wide range of attendance. The Urban Kids Fitness Fundraising Event also has some threats such as disruption of the event due to inclement in weather (Sargeant and Jay, 2014). Since it is impossible to predict whether the weather conditions would be favorable or not, this is a major threat to the success of the event. Another threat to the fundraising event is the inability to cover the costs of the event due to the weak financial position of the Smart body Youth Sports Club. Uncertain economic factors can also be a threat to the fundraising event whereby this can result in donations and support, which is lower than the expectations of the club. 6 URBAN KIDS FITNESS FUNDRAISING EVENT Section 4: Fundraising Human Resources Management Personnel and human resources have a crucial role in the success of Urban Kids Fitness Fundraising Event. To ensure a smooth running of the fundraising event, the fundraising program will be developed by committees and the tasks will be divided in terms of the committees in order to promote teamwork (Weinstein and Barden, 2017). The personnel will be organized into five committees, which include the planning committee, which will plan for the event prior its occurrence. There will also be a host committee, which will manage club’s fundraising and also the event day committee, which will be responsible for executing the event to ensure the proper place and role for all volunteers and staff are accounted for. The ticket sales committee will play the role of selling the tickets during the event while the decoration and theme committee will be responsible for designing a theme and matching the aspects of the fundraising to the theme including decorating the venue of the event. The fundraiser who will be communicating with the team leaders of the various committees will coordinate all the committees. Volunteers will be highly needed because the club is not in a stable financial condition whereby they assist in duties such as parking among other duties (Worth, 2015). A security team will also be required in the event for the purpose of conducting background checks and also screening the visitors to ensure that they are safety. The fundraising event will also have a finance manager who will be responsible for creating the fundraiser budget in order to ensure that the costs are kept as low as possible while still maximizing the proceeds that can be donated. All the team leaders of the various committees will be communicating through calls since the event expects to have a strong attendance. The team leaders will also be communicating directly to the fundraiser while the staff of the club and the volunteers will be answering to the heads of the teams in which they will be allocated. With this 7 URBAN KIDS FITNESS FUNDRAISING EVENT form of organization, the Urban Kids Fitness Fundraising Event will have a high potential of helping the Smart body Youth Sports Club meet its vision and mission. Section 5: Fundraising Goals Smart Body Youth Sports Club aims at achieving their vision and mission through the financial aid they would acquire from the fundraising. The fund would be allocated to meet the long-term and short goals of the fundraising event. Since the club's vision is to ensure that the youths would get health care and progressive body development, the club aims at constructing a gym and buying bodybuilding equipment. The gym would be accessible to all gender and there would be professional trainers and nutritionists who would offer nutrition advice. It would have changing rooms and a spacious parking. Members would be required to pay an annual fee and the non-members would be paying whenever they use the gym. This gym would be divided into several sections such as the cardio theatre section that would have treadmills, cross trainers, rowers, steppers, bikes and arc trainers. The weights area would be the other section that would have squats and power racks, smith machines, benches, and heavy dumbbells Hillsdon, et al., 2007). It would also have an outdoor training space that would have battle ropes, a sprints area, and tire work for teamwork sports. The short-term fundraising goals would enable the club to hold campaigns for creating mass awareness about the benefits of sports for health purposes. Since the mission of the club is to engage with the urban kids, families within Richmond area, other youths would also be motivated to be part of the recreation and sports programs. The funds would also be used to award outstanding sportspersons as well as provide scholarships and sports gear for each member. The funds would also be used to arrange tournaments and sports festivals so that the 8 URBAN KIDS FITNESS FUNDRAISING EVENT members would be at a position of meeting with recognized sports heroes. This would pull more members to the club and the membership fee would facilitate in achieving the long-term goals. Section 6: Fundraising Marketing and Promotional Strategy The club’s marketing and promotion strategy for the fundraising would first target its audience that would participate in the fundraising event. Families and other people living within Richmond area, the local authorities and sports heroes who have previously engaged with the club would be would be the first target. It would then use the four P’s of the marketing mix so that appropriate strategies would be followed to gain as much funds as possible (Constantinides, 2006). The four P’s are promotion, product, price and place. Promotion The club would hold several campaigns all over the Richmond area and it would also use social media platform for its campaigns. The club would prepare promotion merchandise to market the event such as branded t-shirts, draw string bags or water bottles caps. The other strategy would be having a consensus with the sponsors in also marketing their brands. This would be a great way of pulling more people to the event because they are familiar with the brand. Products Generating revenue from the merchandise products as well as raffles would be another strategy. The raffles would also give an opportunity to the lucky participant to win specific sports merchandise donated by sponsors. Price The other strategy would be agreeing on a reasonable price for the tickets and 9 URBAN KIDS FITNESS FUNDRAISING EVENT merchandise to be sold when promoting the event. Contacts would be registered from the tickets bought by the well-wishers which would assist in reminding them on the upcoming event. The club would also be in a position of sending thank you messages to the people who participated in promoting the event. Place Finally, because the event would be held at Richmond Metro, this is a strategic place that has easy commuting means and it’s the central point of the community. Holding such an event in a strategic place enables the well-wishers to locate it easily and this saves time. Section 7: Fundraising History Due to the fact that Smart Body Youth Sports Club members have always been in the age range of 5-15 years, most of the sports programs were mainly based on that age limit. However, the founders saw the need to include other people as stakeholders for the purpose of the growth of the club. Further still, the previous fundraisings were only based on gaining funds for holding campaigns to raise awareness of the importance of sports for health purposes. As well as assisting the Richmond kids in their wellness program where part of the funds bought food and drinks that would be used by the members in the scheduled routines. The stakeholders who supported the club’s initiative are both internal and external stakeholders (Brugha, & Varvasovszky, 2000). These are people who are concerned with the activities of a certain initiative. The internal stakeholder, that is the parents of the members of the club, they worked tirelessly to ensure that they gave the club their financial, emotional and physical support. The club has also received support from external stakeholders such as the health care providers and schools within Richmond area and the local authorities. Due to 10 URBAN KIDS FITNESS FUNDRAISING EVENT previous collaborations in fundraisings and sports programs facilitated by the club, they have continuously engaged with the club to ensure that it achieves its mission and vision. The club’s programs started on a low note where even the members failed to avail themselves of the organized activities. This was due to lack of proper sports gear for the members and funds to enable the club to achieve its objectives. However, the club has continued to renew its strength since partners have come in to support it. Through these collaborations, the club's programs will be useful to everyone in the society regardless of their age. It will promote healthy development and educate the needy kids interested in sports. Section 8: Structure of the Fundraising Strategy and Timeline The process of the fundraising event will kick off with weekly fundraising campaigns that will be held every Saturday in the month of November from 9.00 A.M. This would assist the club to collect donations from well-wishers that would not be at a position of attending. This would also be a way of motivating people to participate in the event. Due to several consultations with the management committee, the fundraising event would take place in the hall of Richmond Bank on 1st December at 9.A.M. The cause for the change of the venue is due to security considerations. Since the bank's hall is within Richmond area, it would still be a strategic location for the event. The committee argued that handling money matters and ensuring security is very sensitive (Silvers, 2012). Still, the management of offered the venue at no cost. The activities that would take place to ensure all means are reached of acquiring funds would be, having volunteers from the club to have a car wash activity. The payment for the services would be part of the donations. The other activity would be having an auction for various sports facilities that would be donated by the donors. Finally, there would be 11 URBAN KIDS FITNESS FUNDRAISING EVENT a session for the collection of the donations from all the participants leading to the conclusion of the event at 4.00 P.M. The post evaluation of the event would only take three days for the purpose of getting feedback from the team members. Then, a financial report would be prepared to review whether the event's financial expectations were met. As well as breaking down the revenues and expenses incurred from the event. Post evaluation of such an event creates a great chance where the team members get to reflect and highlight key areas that would be improved next time. URBAN KIDS FITNESS FUNDRAISING EVENT
Section 9: Fundraising Plan Summary
The Smart Body Youth Sports Club that facilitates sports programs and recreation
activities for the Richmond kids, as well as the youth in the Richmond area, organized a
fundraising event. The club has been facing financial strains to a point where most members left
the group. Since the group accommodates members from the age group of 5-15 years, only 20%
of the 20,000 members have been active. The challenges the club has been facing have been the
main cause of this low turnout.
The major challenges have been the lack of finances to support the club’s initiatives as
well as the lack of sports gear for the members. So the organized fundraising would assist in
getting funds to buy proper wear and also port robes for the new recruited city girls. The club
was founded due to the heightened need for physical fitness and to facilitate health development
which is the club's overall mission. Therefore with the funds, the club will be in a position of
offering a scholarship to a needy child interested in sports and organize tournaments. The club
will also start the journey of accomplishing its main vision which is constructing a gym where
anyone can access. The club and the committee selected arranged for campaigns to run every
Saturday in the month of November to advertise the event that will take place on 1st December
2017 at the hall of Richmond Bank. The bank’s management offered the venue at no cost.
The event will have a car wash activity, auctioneering of sports facilities donated by
sponsors and finally the donation session by the participants. The event is scheduled to end at
4.00 P.M and the committee plus the club members would have a post-evaluation the following
week which would take three days. In the meeting, they would gather feedback on the events
experience and most importantly, it would be a chance to prepare the financial report of the
funds collected.
