Congratulations. Your project has been staffed and you are about to meet with the team for the first time. Initial impressions are important and you’ll need visuals for your presentation. Create a slide show (in PowerPoint or similar software) in which you address the following, in this order: 1. Goals: What the project hopes to accomplish. 2. Critical Success Factors: Identify at least 4 different stakeholders; for each, list at least 2 things that the stakeholder requires in order to deem the project successful. 3. Acquisition strategy: Should the system be built in-house, created by a contractor, purchased offthe-shelf and customized, or leased as a service? Explain your rationale. 4. Resources: For in-house development, what people/skills are required and what development lifecycle do you recommend? Otherwise, identify 3 candidate organizations that can deliver the system. 5. System functions: In a table format, summarize the types of users for the system; the business reason(s) each would use the system; the ways that the system supports each of these needs; and how this support differs from the current system. 6. Connectivity: Provide a diagram that shows how the system will connect to the other information systems and what data flows among them. 7. Security: List the most serious cybersecurity threats and vulnerabilities of the new system. Suggest strategies to address them. 8. Mobility: Identify the system’s capabilities for mobile use. Include a title and summary slide. Use one slide for each of the 8 points above. Include speaker notes or audio narration that explains each slide more fully.

MEMO To: The Executives From: Lynissa Berry Date: 20th January 2018 Subject: Proposal of a New Enterprise Information System Our business organization prides itself on the professional atmosphere that it maintains and the qualified staff that it has obtained, but things have not been right in the past and even presently. The shadow IT projects shows that there is something serious that is wrong with our internal information system. It has failed to work as expected in meeting the needs of the organization and this is what drives to propose for a new system that can correct all the present mistakes and work to meet the needs and goals of the organization. My proposal is the use of the Enterprise Information System (EIS). This is a system that works to improve the processes of the functions of the enterprise business by integration. EIS typically offers high-quality services when dealing with large volumes of data and is also in a position to support some possibly complex and large organizations. Its vital aspect is that it can be used by all the levels and parts of an enterprise where the term enterprise means a very large organization like the public sector organizations or multinational companies. It as well functions to provide a single system which is central to the business and ensures the sharing of the information across all the management hierarchies and the existing functional levels. Moreover, there are various types of data that the system will hold to the organization. As it has been mentioned earlier, an EIS is excellent at handling large volumes of data that the company will be handling. These include all data about the production processes, suppliers, customers and their needs, nature of the market, the staff and possible risks among others. Data MEMO quality is the number priority of this new system, and it will work in different ways to ensure that the quality of the data is maintained. It provides a technology platform which gives the organization ability to integrate and coordinate their data on a robust foundation. This ensures high quality of data. The various business processes are also automated which reduces the chances of an error occurring hence maintaining the quality of the data. The old information system that our organization has been using is not just appropriate in the manner it handles various functions compared to how the business has grown. It never provided a single system which is central to the organization, and this made it very difficult to share information across different functional levels. Communication and free sharing of resources has been a problem. The new Enterprise Information System provides a single central system to the organization, and this solves the problem of sharing information. With it, information can be shared across the management hierarchies and all the functional levels. The old was not productive and used quite a lot of money while the EIS reduces the service cycles, is productive and at the same time cost saving. Furthermore, the enterprise information system is highly feasible. This implies that it can be easily adopted within the organization and used without difficulties. It may also be used to amalgamate some of the existing applications, and this means that nothing will be lost as the organization upgrades to this system. This system has been built in most successful organizations, and this shows that our organization can as well build it and be successful. An example is the Apple Inc. which everyone knows its success. This is what they incorporated, and they have always remained to be innovative, producing quality products, maintaining their customers globally and many more. It is, therefore, a system that can work with our organization for better results and success. Running Head: MEMO 1 To: The Executives From: Lynissa Berry Date: 1/31/2018 Subject: Implementation of Information System into the Organization I can handle the implementation work majorly basing my ideologies and research on various software’s and techniques in management and marketing tools. For effectiveness, I propose in marketing we use localvox software. It is usually covers local, social sand mobile marketing networks and introduces new clients in the market hence expanding the organization. The software involves various major websites, business journals, social media and newsletter. This will be an added advantage since it targets a given audience and scrutinizers the customers level of utility. It is evident that the software plays a vital role in the marketing sector and boosts in proper decision making processes. The organization layout with the help of the localvox software uses statistic tools in marketing. Statistics leads to risk identification and helps in understanding the nearly approaching threats in the organization. It captures all sectors that revolve around shareholders attitude, sales agents, marketing procedures and clients’ compliancy. Furthermore, it uses statistical measurements to configure various threats and give platforms that lay foundations on improving the organization structure, management strategic plans and the impacts that are involved in the systems. In addition, it shows the ethical threats that shows organizational imbalance in various fields and customizes algorithms which compute weighted risk scores for use as dashboard and reports. Through understanding the risk measures, we are able to predict the level of investment and how MEMO 2 we can curb future loss in this sector thus channeling the organization to future fully profit maximization process (Connelly, Dalton, Murphy, Rosales, Sudlow & Havelka, 2016). In anticipating other areas of resistance, I would advocate we majorly focus on the sales agents. Proper examining the sales agents in the ground and the organization pattern gives knowledge and an overview on how restructuring organizations effectiveness is important to the corporate society. Contrary, leadership force can undermine organizational strategy by under weighing the planning by lack of consensus and being too over ambitious. This makes the organization walk away from its vision, goals and values hence contribute to poor performance in the market. Portable computers and mobiles especially to workers and the general staff is essential to the organization. This is because they can access the internet easily and be able to learn more on their responsibilities on various work fields they are involved in. I advise the company also to have regular seminars that teach the staff and workers on various ways. On the other hand, workers benefit from the devices by learning more skills in the technology and improve in the business. It also makes them be connected with others hence promotes social interactivity. With this, it helps in maintaining the connectivity to collaborate with other users, at least within the same and different environments. In addition, workers are able to interact with clients and understand the services that the customers require in the marketing and this helps in promoting worker and customer relations hence build the business picture in terms of values to the corporate society. In application of management strategy, I advocate we focus strictly on communication. Communication plays a vital role in management since it helps in fulfilling basic functions like planning, organizing, leading and controlling. It is crucial in such a way that it focuses on making the right decisions and planning processes that helps the management to get crucial MEMO 3 information from the juniors and help in moving the organization forward. Through communication, the management is able to gain new ideologies and these bounds all the workers to work together since they can be heard when viewing their sentiments. On the other hand, the management is able to pass the message on the goals and visions of the organization and this is a strategic It also increases managerial efficiency where they are able to pass message on goals, visions, give instructions, evaluate performance and allocate duties and responsibilities to plan that motivates workers and reminds them on their core principles in working ethics and the expectations that are required out of them (Kumar Basu, 2015). It also gives them morale while working hence making them becomes more passionate in terms of work. Organizations undergo heavy financial crisis when the market threats erupts in various dimensions. The threats are usually the major effects that have negative impacts on the organization outcomes and performance. The threats include economic recessions, political instability, heavy taxation from the authority, natural disasters like floods, and terrorist attacks. It is advisable to measure marketing risks. The risks are vital since they reflect on the systematics and the unsystematic risks that affect the marketing sector. I recommend for hiring analysts to find out factors that lead to companies fall and use statistics which includes data coverage to get significance solutions for good performance. This makes the organization to sketch and bring up program that conveys the statistics. With this, the threats are discovered and ways of curbing them are exposed this moves the organization in the right channel. Furthermore, it grasps major areas which include customers relation, utility maximization, resource allocation, and technological advancement.. It is evident that through configurable risk assessment scale, stakeholders in the organization will see the dimensions and the impact after implementation of measuring the risk. On the other hand, ethical leadership contributes a lot in diminishing self- MEMO 4 interest and focuses on profit maximization which is the core value of an organization. It contributes to ethical decision making process and provides skillful execution. My evidences are totally accurate since they focus majorly on matters that pertain and revolve around management, marketing and workers at large. It is evident that the IT sector boosts major companies in terms of marketing and effectiveness in their operations. On the other hand, using the internet and training workers on how to handle clients plays an important role since it boosts their customer relation skills and the responsibilities towards given tasks. In addition, proper communication shapes the management and through it ideologies are raised that helps in improving the company’s reputation and performance. Global Business and Organizational Excellence, 34(3), 28-42. . 1 To: The Executives From: Lynissa Berry Date: 2/16/2018 Subject: Implementation of Information System into the Organization As pointed out in the previous memo, I intend to implement an information system in the organization basing my ideologies on research studies I have carried out. I will efficiently use the local-vox software in marketing for efficiency. The policy will cover the social, local as well as mobile networks in the new market. I want to assure you that the system will not be too overshadow all the IT projects that are taking place on the premises. In fact, the system will be critical in enhancing the accomplishment of some of the projects. The primary aim of this memo is to address the concerns raised by the executive as well as answering some of the questions related to the proposed system (Stevenson, William and Mehran 125) Significant Changes One aspect that has been critical in the organization is the utilization of statistical tools in the identification as well as the understanding of imminent threats in the business. Such detections are essential to any premises as the measurements offer platforms for improvement as well as areas to maximally invest in. In this regard, the system has identified the need to provide the products of the organized at a relatively reduced fixed price. The pricing of these products need not be changed in boom or low-peak seasons. The aspect will be critical in maintaining stable consumers who will be buying our products in and out of seasons. Pricing of these products should be in line with the quality as well as efficient of our products. Consumers prefer purchasing goods that are worth the value of their funds. In this regard, the new system ought to incorporate products that are of good quality and sold at a relatively low price in an attempt at attracting more customers (Stevenson, William and Mehran 125). The aspect of empowering the sales agents will be critical in transforming the organization shortly. A sale agent plays an essential role in offering suitable information for the re-organization of the premises. The aspect is due to the fact that these sales agents transact directly with consumers. Our sales agents have identified that consumers prefer purchasing products that are relatively speedy. In this regard, the organization will ensure that all its products are effective in an attempt at increasing their speed. The new set of products will, therefore, be useful regarding rate as well as efficacy. Consumers also prefer systems that have less unnecessary downtime. In an attempt of increasing the marketing competitiveness of our products, the system will aim at reducing the downtime of our products as well as improve the visibility our supply chain. Offering products at a relatively stable as well as reduced price will increase the organization`s competitiveness. The aspect will be critical in identifying stable consumers that will always use the products of the organization in and out of season. Consumers prefer buying products that are speedy as well as those which reduces down-times. Therefore, the aspect of developing a system that is of high speed will be critical in increasing its competitive advantage in the market. System Adaptation The new system will adapt the aspect of using statistical tools in prospecting the performance of the organization`s products by using the local-vox system. The system will efficiently collect all the necessary data that relate to the production of the premises` products once the prices are stabilized. The system will also incorporate the information from the sales agents. Such information will be critical in meeting all the needs as well as the tastes of all our eligible consumers. The system will ensure that all the information provided by our eligible sales agents is directly passed to our manufacturing sector to ensure that our customers` needs are prioritized. Regarding the aspect of increasing the shelf-life of our products, the systems will ensure that all the expiry dates are updated on a daily basis. The system will ensure that all the products of the organization meet the consumer's criteria’s of being speedy and efficient (Perera and Costa 10) Incorporation The capabilities of the new products offering should be incorporated in the initial system. The aspect is due to the fact that they will increase the competitiveness of the organization. The element of producing goods that are efficient as well as reliable regarding speed will make the organization to be more productive and competitive. In most cases, consumers prefer products that are efficient, have minimal downtime and those that improve the supply chain visibility. The initial system is a bit slow as well as less efficient. Its downtime is relatively high. The aspect has made the products of the organization to be sold at a relatively low price. However, the element of increasing the speed as well as the efficiency of the system will be critical in stabilizing the costs of our products (Perera and Costa 10).
