After reviewing the personnel and assignment guidelines information in the Individual Project in unit 2, it is very imperative that the appropriate personnel are assigned to the correct roles and responsibilities of the project. Ensuring that everyone is assigned to the correct rules and responsibilities could have a major impact on the project rather it is good or bad. If personnel are assigned correctly this could impact the project for a major success and if not assigned correctly this can hinder the project in so many ways, causing the project to fail. All potential candidates have different experience from previous roles. The assignment gives us the information that we need to be able to assign the personnel with the appropriate roles and responsibilities. For the IRTC project to be successful they will need the following positions filled; Project Manager, Business Analyst, developer, End User, and Tester and Trainer. After careful review for all the roles and responsibilities for the position there is a need for a vendor to fill in the roles as a trainer and developer. All personnel provided to the Project Manager will have a role and responsibility within the project to ensure 100% successful project completion. As the project manager for the IRTC project, it is my responsibility to ensure that every role is filled appropriately and adequately for the succession of the overall project. All employees assigned to specific roles and duties will need to ensure they understand the mission of the project, purpose of the project, and that they are provided with direction by me as the project manager. It is imperative that if an employee does not understand a task that they let me know so I can communicate and guide them in the right direction to ensure they succeed in their new roles. The advantage of using the vendor as a trainer and developer in these roles for the IRTC project is outsourcing ("10 Reasons Companies Are Outsourcing Training in Today’s Market", 2018). When outsourcing a project to a vendor it saves time and money for the overall project. Some savings that can be reserved include employee’s pay and saving office space for the other staff on the project. The project seems to be more focused on the quality of the project and it drives customer satisfaction. Using a vendor will also have a tremendous success for the project because the vendor has more knowledge on the IRTC project then other employees on the project. The vendors already know about the project and what needs to be accomplished to ensure 100% success. Providing the vendor with the roles as a trainer and developer will lead to higher customer satisfaction due to the expertise on the team. The disadvantages of using a vendor for the trainer and developer roles for outsourcing include the following disadvantages; culture, vendor dependency, and proprietary information ("The Pros and Cons of Outsourcing Project Management", 2016). Culture is a disadvantage for the project due to the simple fact that some companies are more passive rather than influential for the company and project. Vendor dependency is a disadvantage for the IRTC project because the vendor is so skilled and knows the ends and outs of the project that we have to rely on that vendor to complete the work. If chosen a vendor who is not responsible can negatively impact the project because we relied on him or her to get the job done. Lastly, proprietary information is also a disadvantage because if the vendor cannot do or complete the job we are asking him or her to it makes it almost impossible to turn over the information to an outside party to get the work done that we are asking of them. In conclusion, ensuring that everyone is assigned to the correct rules and responsibilities could have a major impact on the project rather it is good or bad. It is my responsibility as the project manager to ensure that every role is filled appropriately and adequately for the succession of the overall project. I will provide everyone on the team with purpose, motivation, and direction to accomplish all tasks at hand. The advantage of using the vendor as a trainer and developer in these roles for the IRTC project is outsourcing ("10 Reasons Companies Are Outsourcing Training in Today’s Market", 2018). The disadvantages of using a vendor for the trainer and developer roles for outsourcing include the following disadvantages; culture, vendor dependency, and proprietary information ("The Pros and Cons of Outsourcing Project Management", 2016). UPCOMING IP WORK Assigning team members to task roles is a delicate and critical task. When done correctly, the team members will be excited about their role on the project, feel confident they can successfully complete the tasks assigned, and know they will have some conquerable challenges as they move through the project. To effectively assign tasks to people (and people to tasks), the project manager must perform the following: • • • • Identify the roles needing to be filled. Determine the skills required for each role. Determine the skill sets of the team members. Assign team members to roles. The objective for this assignment is to effectively select your team from the following people: • • • • • Pat is available for 24 hours a week at $115 per hour. Pat was involved in several upgrade projects for this package and can act as business analyst, developer, or tester. Pat is very comfortable with the legacy system and does not see the benefit of moving to the Web-based version. He feels that the end users do not fully utilize the functionality they already have and will not use this new functionality effectively. Terry is available for 24 hours a week at $100 per hour. Terry was involved in the original installation and every upgrade since then. She tends to be in developer or tester roles for this system but acts as business analyst for other systems. She is very excited about the Web-based package and the functionality it provides. She is concerned, however, that the end users do not have the computer savvy to use it. Robin is available for 30 hours per week at $100 per hour. She was involved in the last two upgrades as a business analyst and has been trying to become involved in other systems and business areas. She was actively involved in the development of a custom Web-based application as a programmer. This was considered a skills development opportunity because her Web programming skills are not strong. Chris is available for 24 hours per week at $80 per hour. He is new to the IT department; he was previously a customer service representative. He just completed his undergraduate degree in computer science and has experience with Web programming and software testing techniques. Jan is available for 16 hours per week at $115 per hour. Jan is also new to the IT department. She was previously a consultant and was on process reengineering projects, including several for billing functions. She previously worked with the Web version product of the vendor’s competitor. Assignment Guidelines: • • In this assignment, you are planning to fill the roles for the following 3 positions: o End user o Business analyst o Team leader For each role, o Describe the main responsibilities of the role. o Identify the skills that are necessary. o Select one of the candidates listed in the assignment description, and thoroughly explain why you have chosen each person for his or her role. ▪ Explain any conflicts or problems that you encountered while making your selections.
