Drip & Jam Backpack Memo To: Executive staff From: Bria Jones Date: December 23, 2015 Re: Project update Project Overview Introduction: This memo is an overview of the Backpack project that went into effect on September 1, 2015. The company remains within the schedule to deliver the project on time. However, a few items of concern have risen and the program manager is concerned on possible effects the items could have on the project delivery. Customer: Our client, the U.S. Army, Ground Forces and Special Operations remains adamant that we can deliver the project as scheduled. The initial program overview on the customers website dating November 16, 2015 has hailed the design of the backpack and points at a huge optimistic that our company is an efficient developer in incorporating technology and safety in the product. Initial program action items As of December 1, 2015, we have tested the final design and we expect production of the first 100 units of the backpacks with built in refrigerated pouch and radio modules to be ready for testing two months before the expected delivery date. The production unit is positive that the project is within the range of meeting its target of finalizing proposed adjustments to the design on time for production. Project Risks / Risk Mitigation strategies: A project of this magnitude is bound to be coupled with slight defects in design and during the development stage. The management overseeing the program has pointed out some of the concerns that pose risk to the project, while also includes risk mitigation strategies that where discussed in an earlier meeting. 1. Third party company delays: As a small company, we had arrived at a business deal with Sunplast appliances for the supply of small fridge sets capable of fitting in the average sized backpack. Whereas the company has been served with the program schedule, we have concerns that due to their otherwise small operation base, we may miss out on some deadlines as outlined by the project schedule. We have a mitigation plan that could see our company source the said fridge sets from another well-established company for a fee slightly higher than the program stated. 2. The initial budget getting ballooned: This is a major risk that we have been working on to see how we can deliver the program within the slated budget of $1,500,000. Our mitigation plan is centered on pushing the third party affiliate company to deliver the necessary components to facilitate enough time in design and development. 3. Product lifespan risks: Supplying for a federal unit comes with public scrutiny mostly on quality. This could present a risk of losing out on other deals and tarnishing the company reputation if defects were to be delivered. We have strengthened our design and development stages to come up with most desirable product fit for military duties. 4. Revised design: The initial design of the backpack was earlier slated heavier than initially thought. This has left the program management with no option but to make changes on the design. Whereas the revised product may be lighter than the earlier design, a risk is posed with the durability and strength of the product. We have ensured the product is doublechecked by project experts for compliance. 5. Testing the product under different environments: The U.S. Army, Ground Forces and Special Operations is broad enough to operate from any environment and location in the world. The design for the backpack has not been tested under all the environments that the army could operate on. However, we have mitigated the risk of the product failing under certain conditions by reinforcing certain points to ensure the sensitive components remain safe. Memo Conclusion: The memo is an overview of the project that is underway for the next 16 months. The schedule is expected to remain within the right course, but some of the risks that could hamper that progress have been highlighted. The management of the program remains adamant that the schedule is manageable and that mitigation strategies shall be incorporated within the program. 2
