Stress, lack of sleep, unhealthy food, work related pressure etc. all these problems causes multiple diseases and health problems in people i.e. lowered immunity, deficiency of vitamins etc. In order to get cured from these problems people in the pharmacy shot up drastically and frequently. Therefore, the pharmacy gets crowded most of the time by the customers as medication has become one of the essential piece of our daily life. Instead of visiting pharmacy store consistently, Life Saving Pharmacy has decided to implement a virtual shopping for benefit of its customers. Life Saving pharmacy was started in 2010 and it is based in Madinat Sultan Qaboos. Including medicines products like vitamins, skin care, perfumes, cosmetics and other consumable materials are also proposed by Life Saving pharmacy for all its customers. Each product has its vast range of varieties. Life Saving pharmacy maintains the availability of sufficient drugs and other consumable materials and ensures that the customers are satisfied. Therefore, the owner of the pharmacy has decided to develop an online pharmacy store website so that it helps to remove time wasting, grant easy access to medicines and other products, saving resources and as well as for providing more security on data as compared to manually operated system. The aim and objective of this project to establish an online shopping management system. Life Saving pharmacy dealt with a lot of issues such as due to less number of cash counters and staff, customers wait in long queues for their turn specially the patients with prescriptions and then later for billing. Employees were committing several errors while evaluating and writing the stock files. Moreover, lot of space was occupied by the files. A lot of time used to consume in search of any product or any misplaced file or bill. Customers used to look around and drop any product they don’t want to buy. Hence, rearranging of items again used to consume a lot of time and energy. Furthermore, replenishment of stock used to take weeks sometime as everything was done manually that made the customers left unsatisfied. Online management system will facilitate the Life Saver pharmacy store to maintain and check the availability of the drugs and other products. Also, the management and owner will get alert before any products gets out of stock. Moreover, an alert message will also be sent after replenishment of stock. Staff members will be given the privilege to add or remove any item. Control or prescribed medicines will only be given if the patient sends a copy of the prescription online to support department. The support department will verify prescription and only then the delivery will be proceeded further. A brief report about daily and yearly sales will be generated for Life Saving pharmacy. Life Saving pharmacy will provide home delivery services. System will send a notification message to the staff members for each order request and after every delivery. The system will display the stock and number of pieces available. In case of stock availability, the system will notify the staff before any item gets out of stock. Moreover, the staff will also get notified on stock replenishment. The system will display item description, batch number, expiry date, quantity, agency, retail price and total price for the customer. If any item is out of stock the 3 system will notify the customer with the similar item available. Functionalities like keeping the records of daily orders requested and delivered will be kept saved. Life Saving pharmacy will always try to meet the customers’ expectations and requirements. Lastly, in order to complete the project for online Life Saving pharmacy store website the given cost and time is estimated. The cost is approximately 3000 OMR and the time taken to accomplish the project will be 6 months excluding the holidays and weekends. 2.0 STAKEHOLDERS 2.1 Owner The owner will be responsible for the critical planning of the store. The owner will provide and fulfil the requirements related to the budget and investment. He will be responsible for the time-management. He will also be responsible for the servers running the online Life Saving pharmacy store. No other personnel will be able to access the confidential data such as monthly or yearly sales other than the owner himself. 2.2 Store Management Employees The store management employees will be able to check the stock availability. They are also responsible for adding or removing certain items from specific stocks depending on their availability. They can also set up offers and promotions during different occasions and seasons. They can also improve customer service by getting their feedback and making sure their requirements are fulfilled. 2.3 Store Replenishment Staff The stock replenishment staffs are under store management employees. They will be responsible for receiving direct order from the management employees. They will be responsible for getting the stock from the warehouse as soon as it is available. The delivery sector is also handled by the stock replenishment staff members. They can check and see who requested a certain item and deliver it to their respective customers. 2.4 Project Sponsor The project sponsor is responsible for investing into the company and later down the road he will gain profit from it. They will be responsible for allocating the project managers and team members working under them. The sponsor also initiates the project charter. 2.5 Project Manager 4 The project manager is given the task by the project sponsor in order to lead his team and meet the project requirements by the given deadline and the budget. The project manager is supposed to meet the high expectations of the project sponsor. 2.6 Website Designer The website designer is having the task of designing a prototype version of the web based online pharmacy store Live Safe. The developed prototype must meet all the functional criteria and must satisfy the standards of an online web-based store. The changes must be done by the website designer and implement latest changes in the future. 2.7 Software Programmer After the designing of the website by the website designer, the software programmer is given the task of typing the codes for the online web-based shopping system. They have to type the codes in order to meet the functional criteria’s and have to ensure that they are being run professionally without any sort of bugs or errors. 2.8 Database Managers The database managers basically put all of the information regarding the store provided to them from their owner, store management employees, store replenishment staff and customer information into a database. They also make sure that the security of the database is up ot date in order to prevent hackers from infiltrating the data. 2.9 Trainer The trainer is responsible for training the staff members, the owner and the management on how to operate the web based online application in a way that it is profitable for the firm. 2.10 IT Support Team The IT support team is there for technical difficulties. They work specifically for problem solving related to IT or servers and to troubleshoot their systems. 3.0 PROJECT OBJECTIVES / SUCCESS CRITERIA The criteria for an online based web shop is to identify what age group is shopping and how we can target that age group in order to maximize the sales and to ensure that the customer demand is met. The following are some of the objectives met by the consumer: • • It will allow the owner of the online pharmacy store to check and analyse the monthly and yearly sales. This way the staff management can find out which of the products are being sold more than the other and restock it. 5 • • • • • • • The customers can easily check the stock by browsing online through your store. The IT support team must be given more training in order to be more skilled and competent in solving general problems. The web-based application must be compatible with Google Chrome, Internet Explorer, Safari, Mozilla Firefox and Opera. Staff should be available on an on-going project with the required skills. The project was completed within the given budget and time scheduled determined. At the end the outcome of the project was that it met all of the criteria and requirement. 4.0 SCOPE OF THE PROJECT The project scope defines the limits and boundaries of the project. Under scope we write whatever that has to be done in order to meet the end-requirement. There are two types of scopes, scope-in and scope-out. 4.1 SCOPE IN The following areas are within the scope of this project: • • • • • • • • • • • The team under the project management will handle interviews with the owner of the company, project sponsor, staff members and possible customers. As soon as the customer purchases an item from the pharmacy store online, the stock list will be updated automatically. If some item is out of stock or sold out, the customers as well as the store management will receive a notification alerting them about it. The website will be under surveillance by the network security administrator in order to aloe\w access to only authorized personnel, The online web-based application will be providing two languages English and Arabic. The online application will be able to keep a history and log sheet of all the purchases, transactions and daily sales. In case of power outage or such emergencies, a backup plan would automatically be created in order to ensure no loss of data. The web-based application will be coded using Adobe Dreamweaver and Visual Studio. The testing will be done using visual studio. The database management and its information will be stored in Microsoft Access. Once the customer goes through the transaction the management will be notified of it and they will deliver the product to the customer as soon as possible. 4.2 SCOPE OUT 6 The following are the objects which are out of boundaries and are not achievable within a given time: • • • The management and managers will help develop the database for the online pharmacy store. The customers can take their time in order to check the medicine and check their description and order in the comfort of their own homes. The errors will be reduced when transactions are being made as the transaction receipts and calculations will all be done through computers. This will help increase the gross profit of Life Saving online based web pharmacy store. In this report the background of the project, the stakeholders such sponsors, project managers, owner and employees are described in detail. The objective and success criteria are also explained along with scope-in and scope-out points of the project. The assumptions, dependency, milestone and constraints are also discussed in this report. Furthermore, work break down structure with task and subtask are also mentioned. After that, project sheet, Gantt chart and network diagram are also displayed in this report.
